ADMINISTRATIVE ASSISTANT POSITION

The Administrative Assistant is generally responsible for clerical and support functions associated with marketing the company’s conferences and events.
HOURS: Part-time, 30 hours per week
REPORTING: Reports to Heidi Buss, Director of Events
WAGE RATE: $13.50/hour
BENEFITS: None
LOCATION: Tribal office or as directed
TRAVEL: Occasional by agreement
JOB DUTIES
CLERICAL/ADMINISTRATIVE
–Answering phone calls
–Responding to customer inquiries by phone, email and fax
–Filing paperwork
–Maintaining attendee files on all events
–Maintaining and updating data bases (Microsoft Access)
–Email and fax broadcasts
–Sending out invoices and receipts
–Following up on invoices
–Ordering signage and other event supplies/services
–Packing/shipping event materials
–Supervising printing projects
–Maintaining and updating master event planning calendar
–Producing registration reports prior to and after events, including reports of paid and unpaid registrations as well as attendees by name and company
–Producing name tags, certificates and other event documents
MARKETING
–Timely marketing of events by telephone, fax, email as directed by Director
–Posting event pages on CVENT online platform as directed by Director
–Assisting in producing and printing conference programs and show guides
–Maintaining and updating TT&E Facebook and Twitter accounts
–Tracking attendee registration and payments via CVENT
–Maintaining attendee records for future marketing purposes
OTHER DUTIES AS ASSIGNED
